Client Onboarding Planner
Project instructions (ChatGPT, Claude or Gemini) that turn a new client's answers into a capacity-checked plan, an access list, a scope check and a kickoff email.
Use it when
- You run an agency, studio, consultancy or freelance practice and sign new clients regularly.
- Onboarding keeps stalling on the same things: logins that arrive late, a second approver nobody mentioned, "content ready" that turns out to be drafts.
- A client's answers hint at more work than they paid for, and you want to raise it before the first call, not in week 3.
Skip it when
- You sell a self-serve product with no one-to-one onboarding. An email sequence fits better.
- You have no written packages or capacity numbers yet. Write those two files first; without them the scope and date checks have nothing to check against.
Example
Input (illustrative): "Package: Growth Website (6 weeks). Start: Monday next week. Answers: 'Leads dropped, so we need a new site. Ana in marketing decides, but our CEO wants to see everything. Content is mostly ready. Budget is fixed. Could you also run our ads?'"
Output excerpt
Read of the client
- Stated goal: a new website. Goal behind it: more qualified leads ("Leads dropped").
- Decides: Ana. Must approve: the CEO ("wants to see everything"), so expect two feedback layers.
Plan to first value
| Week | I deliver | Client provides (due) | Checkpoint |
|---|---|---|---|
| 1 | Kickoff, analytics review | Analytics + CMS access (Wed, wk 1) | Fri, wk 1: access confirmed |
| 2 | Sitemap, homepage wireframe | One combined Ana + CEO review (Thu, wk 2) | Fri, wk 2 |
| 3 | Homepage design | Final copy for 3 key pages (Tue, wk 3) | Fri, wk 3 |
| 4 | Homepage on staging, lead form tracked | Sign-off (Thu, wk 4) | First value: tracked leads on staging |
Week 3 is marked busy in your capacity file: the design review moves to Friday morning.
Scope check
- "Could you also run our ads?": out of scope. Say: "Ads aren't part of Growth Website; once the site is live I can quote a separate ads phase."
Risks (retros: "two-approver SMB")
- The CEO rewrites approved work late. Guardrail: the CEO joins the week 2 review; later changes go on a change log.
