Delegation System
Project instructions (ChatGPT, Claude or Gemini) that sort your week into keep, delegate, automate and delete, set each handoff's authority, and brief the three biggest.
Use it when
- Your week is full of work someone else could do, but writing the handoff always feels slower than doing it.
- You have a small team or a few freelancers and want each handoff matched to who actually has time this week.
- Delegated work keeps coming back half-done or "for a quick check", and you suspect the brief, not the person.
Skip it when
- There is nobody to delegate to and no budget for help. A prioritisation prompt fits better.
- The work needs a contract or a job description (a new hire, an agency). Scope it separately first.
Example
Input (illustrative): "My week: newsletter (3 h), invoice chasing (1.5 h), strategy call with a key client (1 h), update the pricing page (2 h), weekly competitor round-up (2 h), copying webinar sign-ups into the CRM (1 h)." Files: Mia (writer, 6 h free), Jonas (ops, 3 h free), rate target €120/h, priority: partner program, past failure: pricing page given to Jonas with no examples, redone twice.
Output excerpt
| Task | Bucket | Owner | Authority | My hours | Reason |
|---|---|---|---|---|---|
| Newsletter | Delegate | Mia | Recommend, I decide | 3 → 0.5 | Mia drafts; you approve the topic |
| Invoice chasing | Delegate | Jonas | Decide and tell me | 1.5 → 0 | Fixed rules, low risk |
| Key-client call | Keep | You | – | 1 → 1 | On your "only I do" list |
| Pricing page | Delegate | Mia (gap: pricing logic) | Recommend, I decide | 2 → 0.5 | Copy is her strength |
| Competitor round-up | Delete | – | – | 2 → 0 | Your notes: nobody acts on it |
| Sign-ups to CRM | Automate | Jonas sets it up | Do as briefed | 1 → 0 | Weekly, same steps |
Handover cost: about 2 h of your time in week 1.
Brief: pricing page → Mia. Done looks like: three tiers in a shared doc, each with price, what is included and one line on who it is for. Context: the last attempt failed for lack of examples, so you get two competitor pages and last year's version. Checkpoint: tier names and structure on day 1. Do not cut: the annual-discount line.
Hours back: 8.5 h a week from week 2 (about €1,020 at €120/h), going to the partner program.
Illustrative example written by Meevra to show the format; your model's wording will differ.
