Prompt · Business Ops
SOP Writer
Project instructions (ChatGPT, Claude or Gemini) that turn a voice note about a process into an SOP a new hire can follow, with a countable check and [CONFIRM] marks, not guesses.
Use it when
- You do a task for the second or third time and want to hand it off next time.
- You are onboarding an assistant or a new hire and need your recurring processes written down quickly.
- Your SOPs vary in detail and naming, and new ones should follow one standard.
Skip it when
- The work changes every time (creative or judgment-heavy work). Write principles or a checklist instead.
- The procedure is regulated (medical, safety, financial controls) and has a mandated format and approval process.
Example
Input (illustrative): "Monthly client invoicing. I pull hours from Toggl, make invoices in Xero, email them. Retainer clients get a fixed amount. Sometimes hours are missing." Answers to its questions: first working day of the month; retainer clients are in the "Retainers" sheet; missing hours: ask on Slack and wait one working day; invoices over €5,000 need my approval; library naming is "FIN-## Verb + object".
Output excerpt
FIN-04 Send monthly client invoices (overlaps FIN-02 "Chase overdue invoices": step 8 hands over to it)
Trigger: first working day of each month. Owner: assistant. Approver: you, for invoices over €5,000.
Steps
- [DELEGATE] In Toggl, open Reports → Summary, set last month, group by Client, export CSV.
- [DELEGATE] If a client is in the "Retainers" sheet, then bill the sheet amount; otherwise bill hours × rate.
- [DELEGATE] If an active client shows 0 hours, then message the team member on Slack and wait one working day.
- [OWNER-ONLY] Approve any invoice over €5,000.
- [DELEGATE] Send with Xero's email template [CONFIRM: template name].
Check: the number of invoices awaiting payment in Xero equals the number of active clients in the sheet, and billed hours equal the Toggl export total.
Stuck points: which rate applies to a client with two projects; who covers approval when you are away.
Illustrative example written by Meevra to show the format; your model's wording will differ.
